Exporting to TuneRegistry

MRP exports your composition data as two XLSX files — Contacts and Works — that you upload directly to TuneRegistry. This article explains what the export contains and how to complete the submission.

What the export contains

For the TuneRegistry workflow, MRP prepares two XLSX files formatted for the required import:

  • Contacts XLSX (Bulk Contacts v4.2) — one row per writer and publisher; includes legal names, IPI numbers, PRO affiliations, contact email, country, and entity type (individual, group, or both)
  • Works XLSX (Works v4.7) — one row per composition; includes title, ISWC, HFA code, language, work type, copyright metadata, up to 7 writer slots, and up to 2 publisher slots per writer

7-writer limit

TuneRegistry's Works format supports a maximum of 7 writers and 2 publishers per writer per row. If your composition has more than 7 writers, you will need to contact TuneRegistry directly to arrange an alternative import method. Each writer can have up to 2 publishers — a primary publisher and an administrator or sub-publisher.

Validation errors that block export

MRP validates each composition before including it in an export. The following issues will block a composition from being exported:

  • No confirmed writer claims
  • More than 7 writers (TuneRegistry's per-work limit)
  • Writer shares do not total exactly 100%
  • Any writer missing an IPI number
  • Any writer missing a resolvable last name
  • Any writer missing a PRO affiliation
  • No writer affiliated with a North American PRO (ASCAP, BMI, SESAC, or SOCAN)
  • Any writer's contribution role is missing or cannot be mapped to a TuneRegistry type
  • Any writer has more than 2 publishers linked
  • Any publisher linked to a writer is missing a publisher IPI number
  • The composition is flagged as a modified work but is missing an Adaptation Type
  • The composition is flagged as a stage or multimedia production but is missing a Production Type or Production Title
  • The composition has pending or unconfirmed contributor claims — MRP checks a readiness indicator and blocks the export until every invited co-writer has confirmed
  • You are not the creator of one or more selected compositions

Contribution roles and TuneRegistry

TuneRegistry requires every writer's contribution to be mapped to one of four values: Music, Lyrics, Music & Lyrics, or Arranger. MRP derives this from the roles set on each writer's claim. Writers with only a Composer role are mapped to Music; writers with only a Lyricist or Songwriter role are mapped to Lyrics; writers with both are mapped to Music & Lyrics; writers with an Arranger role are mapped to Arranger. If a writer's role is missing or does not map to one of these values, the export is blocked and the TuneRegistry Readiness card will show the specific error.

How to run the export

Registration authorization happens one composition at a time from each composition page. Once multiple compositions are individually locked, confirmed, authorized, and shown as TuneRegistry ready, an administrator can open Admin → Registrations at /admin/registration, select the desired works in the Ready to Register view, and choose Export N Selected. The invitation batch and TuneRegistry export batch are separate: there is currently no filter that automatically selects all songs from one invitation batch, so select those works manually by title or member. MRP validates the current locked evidence before producing the files and reports the specific blocked fields so you can correct the source record instead of manually editing ownership evidence.

Uploading to TuneRegistry

When an external TuneRegistry upload is required, use its Bulk Import process. After MRP finishes the export, choose Download Contacts XLSX and Download Works XLSX. Upload the Contacts XLSX first, then the Works XLSX. The same two downloads stay available in Processing & History. If the external system reports a problem, return to MRP, correct the eligible source data, and re-run the current workflow. Never modify a locked export file to change ownership evidence outside MRP.

North American PRO affiliations

For writers affiliated with a North American PRO, MRP recognises ASCAP, BMI, SESAC, and SOCAN. If a writer is affiliated with a different North American organisation, you may need to adjust the exported file manually before uploading it to TuneRegistry.
